CUPA-HR Spring Conference Cancellation FAQ

We regret to inform you that due to the growing threat of exposure to coronavirus COVID-19 and out of an abundance of caution we have cancelled our upcoming CUPA-HR spring conferences in Savannah and Minneapolis.

As we have previously shared, we have closely monitored news reports and guidance issued by the Centers for Disease Control, as well as information provided by other expert sources. Our first priority, as always, is the safety and well-being of our attendees, speakers, corporate partners and staff. However, the coronavirus shows no signs of slowing in the near future, and an increasing number of institutions have decided to restrict travel. Furthermore, it is critically important for our members, many of whom are on the front lines of institutional planning and response, to be on their campuses as developments unfold.

In consideration of these and other factors, we have made the difficult and unprecedented decision to cancel the CUPA-HR spring conferences and opt for a virtual conference instead, taking place April 20-21.

As a spring conference registrant, you have two options for how you wish to process your registration refund:

  • Receive a full refund — No cancellation fees will apply.
  • Participate in the virtual conference — $200 will be deducted from your refund and you will have access to our virtual conference, taking place April 20-21. Learn more.

Please indicate how you would like for CUPA-HR to process your refund by April 17, 2020. We are unable to process refunds without a completed form.

REGISTRATION

What should I do about my registration if I was planning to attend a spring conference?

As a spring conference registrant, your registration has been automatically cancelled and you have two options for how you wish to process your registration refund:

  • Receive a full refund — No cancellation fees will apply.
  • Participate in the virtual conference — This event will be held April 20-21 from 11:30 a.m. to 3:45 p.m. ET. The fee for participation is $200 and can be deducted from your refund. Learn more.

Please indicate how you would like for CUPA-HR to process your refund by April 17, 2020. We are unable to process refunds without a completed form.

What if I cancelled my registration and I was charged a cancellation fee? Can I get that money back?

Yes. A CUPA-HR staff member will reach out to you individually to refund your cancellation fee.

What if I am attending an invitation-only reception or other event hosted by a corporate partner?

Please contact the affiliated organization regarding events that are scheduled in conjunction with the CUPA-HR spring conferences.

What should I do about my lodging?

Attendees will need to cancel their own hotel and travel reservations.

AIRFARE

I have already made my travel arrangements. What do I do about my flight?

Attendees will need to cancel their own travel reservations. Please contact your airline directly regarding ticket cancellations. If you purchased travel insurance, please contact your provider for information and next steps. While CUPA-HR cannot reimburse cancellation fees, many airlines are waiving them during this time.

CONFERENCE PROGRAM

I was a concurrent session speaker for a 2020 spring conference. Does this mean that my session will automatically be placed on the agenda for the 2021 program?

CUPA-HR is grateful to each of our speakers for their willingness to share their innovative practices and great ideas. As the top issues for higher education can change from year to year, a new call for proposals with updated focus areas will be released later this year. The approved proposals for the 2020 spring conferences will not automatically roll over to the 2021 program. If your 2020 approved session submission aligns with the 2021 focus areas, we encourage you to resubmit your proposal for consideration.

I purchased an exhibit booth for a 2020 spring conference. Do I get a refund?

We thank you for your support of our exhibit hall. Your company can cancel your booth purchase for a full refund, or you can apply your 2020 booth purchase to the 2020 annual conference in Orlando, Florida, to be held October 4-6. Because of the difference in pricing, if you opt to roll over your spring conference fee to the annual conference, a balance may still be due.

Please contact Kayla Bouillon of our event management team via email or by calling 425-420-1680 to begin the refund process or to reallocate your funds toward an annual conference exhibit booth. Refunds/reallocations must be confirmed with Kayla by March 25, 2020. Refunds will be processed by April 24, 2020.

My booth materials have already shipped to Savannah. How do I arrange for their return?

If you have shipments at the advance warehouse, please contact Stetson Freight & Logistics Manager Lauren Welsh at [email protected] to set up your outbound shipping. All shipments will ship out via Stetson Logistics.
