Audio/Visual Requirements
Deadline: August 12
Your session room will be set up with the equipment you requested during the proposal process. Please provide your own laptop loaded with appropriate software. CUPA-HR does not provide laptops or complimentary Internet connectivity. If you would like to rent a laptop, you can order them directly from the hotel’s audio visual department (a fee will be charged).
Standard set-up in each session room includes an LCD projector and screen, podium and attached microphone. Additional A/V equipment that is requested may come with extra costs. All rooms will be set theater-style to ensure maximum seating.
Equipment provided by CUPA-HR’s Audiovisual company is compatible with PCs. If you are bringing a Mac laptop, please be sure to bring any necessary adaptor cords. CUPA-HR cannot guarantee adaptor availability from our A/V provider or the hotel A/V department.

Speaker Agreement
In order to be included as a presenter for the CUPA-HR Annual Conference and Expo 2011 you should have completed CUPA-HR speaker agreement online. The contract outlines your speaker requirements for the conference.
Presentation Rooms
All session rooms will be set “theater style” in order to maximize seating for conference attendees.
Powerpoint Template
CUPA-HR does not require presenters to use a specific presentation template. However, we have provided a template that we do strongly encourage you to use.
Biography
Based on speaker feedback from previous years, each presenter will introduce him or herself. CUPA-HR staff will be available to help with any A/V issues or needs presenters have during a session, but CUPA-HR staff will not be introducing speakers.
Session Materials Submission — Mandatory
Deadline: August 12
As was stated in the call for proposals, session materials submission is mandatory. Sessions without session materials may be subject to cancellation. As part of CUPA-HR’s continued efforts to conserve environmental resources, the association will not provide paper session materials for conference attendees. Instead, we will place all session materials provided by our speakers on a password-protected website. Attendees may choose to print these prior to the conference or at our Cyber Café on site.
Session materials must be submitted by August 12 as an e-mail attachment (we cannot accept fax copies) to schristensen@cupahr.org. If you cannot meet the August 12 deadline, or you have a special situation, please contact Shiona Christensen by e-mail at schristensen@cupahr.org or by phone at 865-862-2843. Copies of materials made on site will be at the speaker's time and expense, and CUPA-HR will not reimburse expenses incurred for reproducing print materials.
CUPA-HR Publications and Knowledge Center
A committee of your peers may select some of the concurrent session materials to appear in an upcoming issue of a CUPA-HR publication and/or online in the members-only CUPA-HR Knowledge Center. The national office will notify you if your white paper or session handout materials are selected to appear in a publication and/or the Knowledge Center.
Session Evaluations
All concurrent session evaluations will be sent electronically to attendees. Your composite scores will be sent to you in October 2011. Evaluations ask attendees to rate a variety of things including: effective time allocation, content matching promotional description, presenters promoting specific products or providers and more. Please be cognizant of these rating categories as you prepare your materials as evaluation scores may be considered when making future programming selections.
