Conference Registration — (Does Not Apply to Exhibitors)

As was stated in the call for proposals, all presenters are required to register for the conference. As a conference presenter from a college or university, your registration is discounted to $430, or $100 less than the member early registration fee. You may register anytime, including at the conference, at this rate.

One-day registration rates are also available, but presenter discounts do not apply.

Conference Registration — Exhibitors

If your company or organization is sponsoring or exhibiting at the CUPA-HR National Conference and Expo 2009, registration must be completed with MRA Services.

Hotel Reservations — Deadline September 27

The Rio All Suite Hotel & Casino is offering special group rates of $169, plus 12 percent tax for single occupancy. Visit our Hotel Information page for hotel details.

Audio/Visual Requirements — Deadline September 11

Your session room will be set up with the equipment you requested during the proposal process. Please provide your own laptop loaded with appropriate software. CUPA-HR does not provide laptops or complimentary Internet connectivity. If you would like to rent a laptop, you can order them directly from the hotel’s audio visual department (a fee will be charged).

Standard set-up in each session room includes an LCD projector and screen, podium and attached microphone. Additional A/V equipment that is requested may come with extra costs. All rooms will be set theater-style to ensure maximum seating.

Biography

Based on speaker feedback from previous years, each presenter will introduce him or herself. CUPA-HR staff will be available to help with any A/V issues or needs presenters have during a session, but CUPA-HR staff will not be introducing speakers.

Handout Submission — MANDATORY — Deadline September 18

As was stated in the call for proposals, handout submission is mandatory. Sessions without handouts will be subject to cancellation. As part of CUPA-HR’s continued efforts to conserve environmental resources, the association will not provide paper handouts for conference attendees. Instead, we will place all session handouts provided by our speakers on a password-protected website. Attendees may choose to print these prior to the conference or at our cybercafé on site.

Handouts must be submitted by September 18 as an e-mail attachment (we cannot accept fax copies) to schristensen@cupahr.org. If you cannot meet the September 18 deadline, or you have a special situation, please contact Shiona Christensen by e-mail at schristensen@cupahr.org or by phone at (865) 862-2843. Copies of materials made on-site will be at the speaker’s time and expense, and CUPA-HR will not reimburse expenses incurred for reproducing print materials.

Session Presenters are Invited to Submit White Papers

In addition to providing session handout materials, you also may choose to prepare a white paper to explain your topic further. One or all session presenters may author a white paper, but only one white paper may be submitted per session.

CUPA-HR Publications and Knowledge Center

A committee of your peers may select some of the white papers or concurrent session handouts to appear in an upcoming issue of a CUPA-HR publication and/or online in the members-only CUPA-HR Knowledge Center. The national office will notify you if your white paper or session handout materials are selected to appear in a publication and/or the Knowledge Center.

What to Submit by September 18

  1. Your session handout materials to schristensen@cupahr.org;
  2. A white paper (optional).
    Please send white papers in a Microsoft Word document format (.doc) to schristensen@cupahr.org. Your cover page for the white paper must include the name, institution, title and phone number of the author(s).
